An automation that turns request emails into tasks for the team

A request email goes in, a complete task with a checklist comes out. Missing details go back to the requester on their own.

Role authorStack n8n, Monday.com API, Claude API (brief validation), Outlook, Power AutomateStatus launched, first weeks

Problem

Requests to the design team arrived by email in any form and someone had to retype them onto the task board by hand. New people in the company had no board licence, so they could not create tasks themselves, and the brief was rarely complete the first time.

What I built

An n8n flow receives the email, Claude checks whether the brief has everything it needs, creates a task with a checklist on the team board, and when something is missing, sends a question back to the requester. The designer's comment from the board goes back to the requester by email. On top of that, rules that keep task statuses on the board in order.

Result

Designers work in one place, requesters need neither board access nor a licence. The brief is complete before the task exists, and communication stays fast and direct. The project has only just launched; the numbers will come after the first months.

How it works

Validation is the list of questions the designer would ask the requester anyway. The automation asks them right away, before anyone starts working.
